Aktiv Learning has partnered with Proctorio to allow students to take proctored quizzes and exams. This support article explains how to take a Proctored Assignment once Proctorio is installed and provides some troubleshooting if issues arise.
1. Pre-Check Steps
a. Read all of the following steps carefully for Quiz/Exam pre-check. Click yes when you are ready to begin. Please note that this will begin your first attempt at the quiz or exam.
b. You will be redirected to a Proctorio window, which will lead you through a pre-check process to enter the quiz or exam
Note: This page may need to be refreshed at least once. If you are stuck on the loading page (as shown above), you should refresh as many times as needed to get through to the next page.
c. The Before you Begin page provides a summary of the restrictions put in place by the exam administrator. Scroll down to the bottom of this page to enter the exam pre-check. This page will prompt you to close any open windows, tabs, or programs before entering the exam pre-check.
d. Allow the Proctorio system to close any windows, tabs, or programs that interfere with enabled restrictions. Once this is complete, you will be able to start the exam Pre-check.
e. The Proctorio system may show an alert that your computer is busy if other programs are still enabled, we recommend that you close all programs to avoid any pop-ups which may end your assessment session.
f. The exam pre-check begins with a System Diagnostics Test. If a system fails to connect, it will be red. All systems must connect to proceed to the next page.
-Camera: if the Webcam cannot connect, check if there is a Google Chrome update needed and restart the computer. If using a secondary monitor, be sure to disconnect the computer from the monitor before restarting.
-Allow access to your computer Microphone.
-Check your wireless connection is strong.
-Allow Desktop control by clicking on the picture of your screen within the pop-up window. After you click the image on your screen, you will be able to click the share button.
-Connect to a power source. With a Proctorio enabled quiz or exam, any pop-ups, such as a low battery warning, could end your quiz or exam before you are finished.
g. Once the systems are all connected properly you will see the Initial System checks passed page, shown below, informing you that the exam is about to begin. Follow the instructions on this page and when ready, click Next at the bottom of the screen to continue.
h. The instructions on the following pages will depend on the restrictions set by your exam administrator; these could include granting permission to share your entire screen and signing an exam agreement, examples are below.
-If asked to share the contents of your screen, first click on the image of your screen to select and then click Share.
-If asked to sign the exam agreement, use your mouse to sign your name or click the sign with the keyboard to type in your name. Click Accept to proceed to the next screen.
i. You will enter the quiz or exam after all pre-check and verification pages have been completed. Good luck!
-Quiz Tools will appear automatically once you are in the proctored exam room.
2. How do I perform a Room Scan (Record Room)?
a. If your exam administrator (professor or instructor) enabled the Room Scan option on your quiz or exam, you may be randomly asked to perform a room scan.
b. At the beginning of the quiz or exam, you will see the notification on the screen (see the image below). When you are ready, please click the START SCAN button.
c. If you are using an EXTERNAL WEBCAM or LAPTOP, slowly turn it around to give a 360-degree view of your exam environment. Do not move the camera too fast or it won't provide a clear video. It is important to show each corner of the room and your desktop area.
d. Once you finish, click the I'M DONE, CONTINUE button and return your webcam or laptop as close to its original position as best you can.
e. Note: I’m DONE, CONTINUE button will appear after 15 seconds, but you can continue with your room scan and click the button when you finish.
f. If you're using a DESKTOP COMPUTER with a built-in webcam (e.g. iMac), it might be difficult to lift and rotate the entire computer.
g. You can perform the room scan by showing the surface behind you to the camera first and then rotate a larger mirror in front of the webcam so the space on the left and right sides of your monitor is visible.
h. The room scan you are performing will be visible on your screen so you can monitor the process and make sure everything is done according to the instructions.
i. There are different types of room scans you could be prompted to do based on your exam administrator's settings:
-Scan at the start
-Periodic Room Scan
-Monitor Scan
-Desk Scan
-Under the desk Scan
-Ceiling Scan
-Floor Scan
j. Before you start your Room Scan, make sure to read the notification about the type of room scan you are prompted to do.
k. Always get clarification from your instructor if you are unsure about your room scan instructions. Failure to perform the room scan properly may result in a violation of quiz/exam procedures.
3. Incognito Set up
a. Some Proctorio features require the use of Incognito access. If your instructor has one or more of these features turned on, you won't be able to take a quiz or exam unless incognito access is allowed.
b. Incognito mode opens a new window where you can browse the Internet in private without Chrome saving the sites you visit. Incognito access allows Proctorio to report web traffic during an exam in all browsing modes.
c. Incognito access gives Proctorio permission to run normally in all tabs during a quiz or exam. For example, instructors may choose to track websites visited during an exam to ensure academic integrity. Incognito access permits this function in both normal and private modes.
d. To make sure your extension has Incognito access, first navigate to the Extensions window in Chrome.
-Click the Chrome menuon the browser toolbar.
-Select More Tools.
-Select Extensions and find Proctorio extension
-Select Details
-Then turn on "Allow in incognito":
4. Screen share with Proctorio
a. Your instructor has enabled a setting for this exam that requires you to share your screen with Proctorio. There will be the only person who can review the recording - your instructor. If the Desktop share is in progress, an alert bar will be displayed:
b. If you hit "STOP" sharing during your exam, you will automatically be taken out of the quiz or exam and will have to go through the pre-check process again to re-enter.
c. If you don't want to see this bar, simply X in the top right, and it will go away.
5. Desktop Share Problems
a. These are possible solutions for this issue:
b. Step 1. Google Chrome added a step in the process of sharing your screen. You need to click on the picture of your screen within the pop-up window, even though it looks like it is already selected. After you click the image on your screen, you will be able to click the share button.
6. Quiz Tools
a. Where to Find the Calculator
b. As you begin your quiz or exam, navigate to the “Quiz Tools” menu, which will appear in the upper left or right corner of the screen:
c. Click this icon to use the basic or scientific calculator.
d. You can move the calculator to a different spot on your screen by navigating to the top of the calculator. When the cursor appears, you can drag the calculator to your preferred spot on the screen. Feel free to close it during the quiz/exam and re-open it from the “Quiz Tools” menu.
7. A virtual Whiteboard can be accessed at any time during the exam with the following tools:
a. Pencil tool
b. Paint Bucket tool
c. Text/Type tool
d. Undo the last action
e. Clear entire board
8. You can move the whiteboard, and when you click on the X, your work will stay saved until you click the trash can in the top right corner of the whiteboard.
9. Whiteboard content will not be submitted with the exam.
